How to choose between Zapier and a custom-built workflow

The useful comparison isn't whether you can connect two apps. It's whether the whole process fits, including exceptions, responsibility and what happens when a connection fails.

Your website receives an enquiry. You want a record in your CRM, the software you use to manage customer relationships, and a reminder for whoever needs to reply. Someone suggests Zapier. Someone else says it should all be custom-built.

Neither answer means much until you describe the complete job. Creating a record is one step. Deciding whether it already exists, handling a failed transfer and showing you what happened are part of the job too.

The right choice should let your staff follow an enquiry from arrival to reply without copying it around or wondering where it stopped. That is the result to compare, rather than the length of either product's feature list.

Start with the ordinary version

If your process is simple, the apps have suitable connections and your staff can understand the resulting workflow, a platform such as Zapier deserves a look. You can test whether a small improvement is useful before making a bigger commitment.

Write down what starts the workflow, the information to transfer and the result you expect. Include the person responsible. A short description makes it much easier to judge whether a ready-made connection covers the job.

Your checklist should also cover the connections available in your actual accounts. The existence of an app in a directory doesn't prove that a particular field or action is available through your setup.

Then try the cases that don't behave

Suppose your enquiry arrives twice, the customer already has a record under another email address, and the CRM is unavailable for an hour.

You need to decide what should happen in each case. Should you create a second customer? Hold the enquiry for review? Retry later? Tell someone that the follow-up has not been created?

A workflow that works only when the input is perfect hasn't passed your test. Our article on alerts, audit trails and error handling covers why the recovery path matters as much as the initial connection.

Custom doesn't mean abandoning the platform

There isn't a firm dividing line between Zapier and code. Zapier supports custom code and direct connections between applications. You can combine those capabilities with a custom application.

For example, your own system could decide which information is approved for release. Zapier could then deliver a routine notification to another service. The application keeps the business decision, while the connection platform handles a bounded handover.

That arrangement still needs an owner. Splitting the work doesn't split responsibility for making sure your customer receives one correct result.

Recognise when you're building an application in pieces

Custom development becomes more compelling when your workflow contains several related records, changing permissions, approval stages or rules shared across different customer journeys.

If the same booking rules are copied into six separate automations, changing a policy means finding all six. A central application can give those rules one maintained home.

This is where we favour custom-built software: your users see the work as one process, so the software should represent it that way. A shared view can give your staff one place to follow progress and resolve exceptions. For a simple transfer between well-supported tools, we'd use the simpler connection.

Ask who looks after it next month

  • Can you see unfinished or failed work without opening several dashboards?
  • Who owns the connected accounts and permissions?
  • Can you change a routine rule without breaking another part of the process?
  • Who tests the workflow when a connected service changes?

Those answers help you choose between a small platform workflow, custom development and a combination. Our software integration work covers all three routes.

You can use those questions when comparing proposals, whichever route you choose. Talk to us about connecting your systems if you'd like a practical second view.
